Do I need technical skills to use RuleDox?
No. RuleDox is designed for non-technical people (agency owners, project managers, ops teams).
You'll:
- Answer form questions (click dropdown, type number)
- Write scope sections in Google Docs (plain text, no code)
- Define rules in simple language (IF this, THEN that)
No coding required.
Can I import my existing scopes into RuleDox?
Yes, partially. You can:
- Copy your existing scope structure into RuleDox
- Identify the variables (what changes per scope)
- Convert manual steps into rules
What doesn't import: Your past scope variations. But you use your current scope as the template for future ones.

Google Docs Integration
Does RuleDox require me to leave Google Docs?
No. RuleDox works inside Google Docs.
You:
- Define your scope structure in Google Docs (one time)
- Answer a form (client inputs)
- RuleDox generates your scope in Google Docs
- You review/tweak in Google Docs
- You send from Google Docs
Google Docs is your authoring tool, not RuleDox. RuleDox just handles the assembly.
Can I use RuleDox with Shopify, Webflow, HubSpot, etc.?
RuleDox is designed for scope generation in Google Docs. It's not a Shopify-specific, Webflow-specific, or HubSpot-specific tool.
But: You can build scope templates for:
- Shopify builds, migrations, optimization
- Webflow designs, migrations, maintenance
- SEO retainers, audits, content strategy
- HubSpot implementation, optimization, training
- Web design, development, maintenance
- Any repeating project type

What if our scopes are all completely different?
Then RuleDox might not be the right fit yet.
RuleDox is built for agencies with repeating project types (same deliverables, similar hours, similar pricing).
Examples of repeating:

How do I apply discounts automatically?
Define discount rules in your template.
IF commitment = "12 months" THEN apply 15% discount
IF tier = "annual" THEN apply 10% discount
IF customer_type = "repeat" THEN apply 5% discount
Total = Base Price × (1 - discount_percentage)
Every scope using the same rules applies discounts consistently.

Team & Delegation
Can multiple team members use RuleDox?
Yes. You can:
- Give team access to your templates
- Everyone answers the same form
- Everyone generates consistent scopes
This is actually one of the biggest benefits: junior staff can generate scopes that match senior staff (because rules enforce consistency, not experience).
Can I restrict who can edit templates?
Yes. You can set permissions:
- Some team members: generate scopes only (view-only)
- Some team members: edit templates (admin)
This prevents accidental rule changes.
How do I train my team?
- Show them the form — "Answer these 5 questions"
- Show them the output — "This is what you get"
- Let them practice — Generate 3 scopes together

Can RuleDox integrate with my CRM?
RuleDox generates scopes in Google Docs. You can then:
- Share the doc link in your CRM
- Download as PDF and attach to CRM
- Copy-paste into your CRM
We don't have native CRM integrations yet, but the Google Docs output works everywhere.
Can I export scopes as PDF?
Yes. Google Docs has a native "Download as PDF" feature.
- Generate scope in Google Docs
- File → Download → PDF
- Send to client
No special software needed.
Can clients comment on generated scopes?
Yes. Generated scopes are Google Docs, so:
- Share the doc with client
- They can comment
- You can accept/reject changes
- It's a collaborative document
This is actually better than static PDFs because clients can see versions.
Troubleshooting
A scope generated with the wrong numbers. What happened?
Common causes:
- Form question mismatch — The form question didn't capture what you expected
- Rule error — The calculation rule was written incorrectly
- Variable mismatch — The rule referenced a variable that doesn't exist
Solution:
- Review the form answers (they're recorded)
- Check the rule (recalculate manually to verify)
- Fix the rule and regenerate
This is why testing your first 3 scopes is critical. Errors are caught before you send to clients.
The template looks different on each client's computer.
Google Docs sometimes renders differently based on font availability or page width.
Solution:
- Ensure all fonts are standard (Arial, Calibri, etc.)
- Share the Google Docs link instead of downloading (rendering is consistent in the browser)
- Download as PDF if you need static formatting
This is a Google Docs behavior, not RuleDox.
I changed the template but old generated scopes didn't update.
Correct. Once a scope is generated, it's a separate Google Doc. Changes to the template don't affect past scopes.
Solution:
- Keep the template for future scopes
- If you need to update an old scope, edit it manually in Google Docs
This is by design—scopes are living documents, not templates.
